
Executive Assistant
Description
Seeking a highly motivated and proactive Executive Assistant, who will drive and manage deliverables to outcomes.
Interpersonal and communication skills are a critical component of this role which extends to the ability to work flexibly, across global time zones and cultures, and build strong relationships remotely.
Responsibilities - Diary management; ensuring effective and efficient use of your Manager’s time when scheduling appointments and communicating well on arrangements with all parties concerned;
- Screening incoming phone calls, mail and visitors and ensuring all queries, requests and correspondence are dealt with promptly and appropriately;
- Working closely with and proactively building good working relationships with management and their teams
- Proactively establishing good working relationships with others within all areas of Pearson to ensure day-to-day interactions run smoothly
- Managing information and communication flows between board members (and their assistants) as well as troubleshooting requests by email
- Organizing all travel arrangements efficiently both within the EU and globally, including visa applications, booking of accommodation, cars and dining reservations
- Processing of expenses
- Arranging Video Conferences and Conference Calls within different time zones
- Meet and greet external visitors from reception at all levels of seniority, providing refreshments where appropriate;
- Effective and timely assistance with editing of high quality presentations/documents and on occasion, assistance with creation of same
- Arranging/organizing department events as required, including Management away days
- Making appropriate reservations for breakfast / lunch / dinner appointments
- Ad hoc assistance with direct report’s travel and arrangement of associated meetings
- Occasional minute taking

- Excellent organisational skills with an ability to plan and prioritize;
- Strong interpersonal and communication skills;
- Proactivity and good problem solving skills;
- An ability to perform effectively under high-pressure situations
- Confidence and maturity to deal with people both internally and externally, including the ability to liaise with staff at all levels of seniority
- Adaptable team player with a positive attitude;
- Strong IT Literacy including Microsoft Office (Word, PowerPoint, Excel);
